Client Billing Premiums allow for a client to be charged a flat rate for fees incurred outside of their homecare service. Users have the option of adding a recurring frequency to these premiums so that the client is charged on a daily, weekly, or monthly basis.
Viewing and managing Client Billing Premiums is controlled by the following ACLs for Admin and Field Portal roles:
"View Client Billing Premiums" and "Manage Client Billing Premiums"
Configure Bill Codes
Client Billing Premiums work with a special type of bill code that can be configured in your agency's Accounting Global Settings tab.
Only bill codes with the unit "rate" are eligible to be billed as Client Billing Premiums.
If multiple funders will be funding Client Billing Premiums, each funder must have its own bill code for the premiums. In other words, multiple bill codes can be associated to a single Client Premium.
To configure the "rate" bill code, add or edit an existing bill code and select "Per rate" as the unit:
After your bill codes have been created, it is time to associate them to the Client Premium:
Note: it is not necessary to set a rule for Client Billing Premiums
Add a Client Billing Premium to a Client
From a client profile, go to Accounting > Billing Premiums > "+ Create Premium"
Clicking on "+ Create Premium" will open a dialog:
The "Billing Premium" field is an auto-complete that displays all premiums. Select your Client Premium from the list. This will filter the "Funder" dropdown to only display the funders with Bill Codes tied to this premium:
A Client Premium can be funded with a single funder or through split-funding.
Once the details of the "Create Client Billing Premium" form are filled in, click save:
Frequency rules for Client Billing Premiums
Client Premiums can be charged on a daily, weekly, or monthly basis:
Invoicing Client Billing Premiums
Client Billing Premiums will appear in their own section of an invoice:
A premium will be listed on an invoice as many times as it was charged during the billing cycle. For example, a two-week bill cycle with a Client Premium charged once per week will show 2 items in the "Premiums" section.
Disabling a Client Billing Premium
Disabling a Client Premium will set the end date to 12:00 am today and the Client Premium will not appear on any invoices created after today's date.
You can disable a Client Premium by clicking on the dropdown at the end of the row from the client's list of Billing Premiums:
Setting a Custom Bill Rate per Client
It is possible to override the bill code rate on a Client Premium if a particular client needs to be charged differently than the system default.
From a client's Accounting page, go to "Price Settings" and search for the name of the Client Premium.
Then, set the rate to the desired price:
The client rate will be applied to any Client Premium or Draft invoice with Client Premiums as of the "Effective Date" set on the rate.
