How do I make changes to an already approved Form?

Sometimes, forms require amendments post-approval, or forms were accidentally approved, but changes cannot be made as the form's status is listed as "approved". As of January 2023, users with the appropriate ACL (permission) in their role can now make changes to forms.

⚠️ Please note that the status of a form must first be corrected before any changes can be made to the form's content. ⚠️

Correcting a previously approved form

ACL (permission) required

The “Unlock Approved Forms” ACL is required to edit an approved form. You can access it by navigating to Settings> Roles and Permissions> Admin Portal Roles. Select the applicable role and click on the "Workflow" folder. Check off the box next to this ACL.

Navigate to the form of choice. To correct a form that has already been approved, change the form status to “Correcting” as shown below. Click on “Edit” and make changes as necessary.

Please note that only OASIS and basic form fields can be edited when they are in the “Correcting” status. Advanced components such as Vitals components, embedded progress notes and certain others cannot be edited. ⚠️ Editing these non-editable advanced components would duplicate data within the patient’s profile. ⚠️

Once you have completed your changes, click on "Submit". Once submitted, the form will move back to the “Approved” status, as shown below.

The “View status change log” on the right will also offer an overview of the statuses of all prior forms, as well as the user who had made the change.
