Getting Started
Users need to have the permission ("ACL") "Add medications from the medication database library" under Clinical to be able to to add medications from the Medication Database.
Once the ACL has been enabled and the user first accesses the Medication tab, a consumer information use and disclaimer will pop up before accessing any licensed content from the medication database, as shown below.
In the event where the user selects “I disagree”, the agency's administrator will receive an email identifying the user that has stated that a disagreement with the disclaimer. The email will then be sent to the email address documented in Settings> Agency information> General Information> Email. The agency may then follow up as per agency policy. Said user will be presented with the disclaimer when accessing the Medication tab during subsequent logins.
If "I agree" is selected, this information is stored and the user will not receive another prompt unless the disclaimer is updated.
Create A Medication with Medication Database
Go to the client profile, navigate to the Care delivery tab and select the Medication tab. Click on "Add". Under Medication and dosage section header, select how the medication will be added. In this case, choose “Medication Database”.
Click into the Medication Name field and enter text to search for the desired medication. When searching for a medication, keep an eye on the below:
-
Due to its volume, a search will not start unless at least 3 characters are entered. It is recommended that you use as much identifiers as possible, due to the number of results that may be returned.
-
The search uses a “contains” vs. “begins with” logic. This means that the search criteria is “dexamethasone” - results will include medications that start with this name, as well as results where it is not the first part of the name.
-
Search results will include both generic and brand name results for that medication. For example, when you look up acetaminophen, results will include acetaminophen and Tylenol or other brand names.
-
Search results will include separate results for different medication strengths, drug forms and routes. For example, if the user searches for acetaminophen separate results for strengths (325 mg or 500 mg), drug forms (tablets, suspensions, or suppository) and routes (oral or rectal) will be returned.
Once you start a search, choose the desired search result from the displayed list. The system will automatically fill in the following fields, if available, based on the selected option: Generic/Chemical name, Brand Name, Ingredient Strength, Ingredient Strength Unit, Dosage Form and Route. As the selected medication is used for subsequent interaction checking, the user will only be able to modify the medication route. All other fields filled from the Medication Database will not be editable.
Continue to fill out the rest of the mandatory/optional fields as desired, then click to save.
There is a possibility that the Medication Database library uses Ingredient strength units, Dosage form and Routes that may not have been enabled in the agency’s medication settings library. To avoid situations where a medication from the database cannot be added due to a disabled setting, it is recommended to enable the permission ("ACL") Add 3rd party medications with overrides to user profiles.
If the user did not enable thee ACL Add 3rd party medications with overrides, or is in a role where this ACL is not available activated, the user will receive the error message “A match could not be found in the medication system settings for <item 1>, <item 2>…. Contact your system administrator”.
