AlayaCare has multiple scheduling views and features to assist with efficient and strategic Scheduling.
Individual Client Schedules
Navigate to the Scheduling tab from the Client profile to view the Client's calendar with details about upcoming Visits.
The Client Schedule will default to the current week. Click the calendar icon () or use the arrows to view a different day or week.
You can switch between different time slots and schedule views using the dropdowns under Client Information.
You have the option to view the Client's calendar in terms of 5 min, 15, min, 20 min, 30 min, or 60 min increments.
The different possible schedule views are Day, Month, Week, 2 Week, Swimlane, and Episode.
The Swimlane view shows a Client's Schedule by week and divides each day into separate rows for each Service. Visits appear in the row that corresponds to the Service with which they are associated. The number of scheduled hours for the Service for the day is shown beside the Service and Funder.
The Episode format offers a 10-week rolling view that begins with the week of the earliest start date for the Client's active Services. The current 10-week period shown is based on this date.
You can set a Default Slot Duration and Default View for Client Schedules and choose which views appear as options in the Schedule View dropdown by going to Settings>All Settings>General>Scheduling.
To the right of the calendar, you will find the names of Employees in the Client's Care Team as well as Experienced Employees (care workers who have been previously scheduled to the Client).
You can also change from Calendar View to List View if you wish to see a list of the Clients' upcoming Visits by day.
Individual Employee Schedules
To view an Employee Schedule, navigate to the Schedule tab within an Employee profile.
The Employee Schedule will default to the current week. Click the calendar icon () or use the arrows to view a different day or week.
Switch between different time slots and schedule views using the dropdowns shown below.
You can choose to view the Employee's calendar in terms of 5 min, 15 min, 20 min, 30 min, or 60 min increments.
The different possible schedule views for Employee Schedules are by Day, Week, 2 Week, or Month.
You can set a Default Slot Duration and Default View for Employee Schedules by going to Settings>All Settings>General>Scheduling.
Client Daily Schedules
To view the Client Daily Schedule for your agency, go to Scheduling>Client Daily Schedule.
Employee Daily Schedules
To see the Employee Daily Schedule for your agency, go to Scheduling>Employee Daily Schedule.
The date will default to the current day. Use the arrows or calendar icon () to select a different date.
Employees who have Visits and/or Unavailabilities scheduled for that day are listed on the left, along with their Daily and Weekly Capacity meters so you can track their current scheduled hours.
Use the dropdowns at the top to change the time slot duration or filter Visits by Groups, Types of Visits (Vacant Visits or Employee Visits) or Service Department (attached to the Service Code and affiliated with the Employee). Or, use the search bar to look for an Employee by name.
