By default in AlayaCare, caregivers can only clock into one Visit or Service at a time. However, some scenarios may required users to be able to clock into multiple Visits or Services at the same time. This functionality can now be enabled on a user-role basis so that certain caregivers have the ability to clock into multiple Visits concurrently on web and mobile.
The following limitations for clock-in remain:
- A Visit can only have one open Work Session at a time.
- A Service can only have one Work Session per Employee (through an unscheduled Service clock-in OR Visit of a Service).
Configure Multi Clock-In at the System Level
To enable Multi Clock-in functionality, the setting Allow Concurrent Clock-In must be enabled in System Settings.
Once this setting is turned on, navigate to Roles and Permissions in Settings and select the Clock Into Multiple Shifts Concurrently ACL (found in the Timekeeping category) for the roles you wish to allow to click into multiple Visits/Services at the same time. Only user roles with this ACL enabled will be able to use multi clock-in functionality.
Clock in to Multiple Visits or Services on the Web
Once multi clock-in functionality is enabled at the system level, caregivers with the right permissions can clock into multiple Visits or Services at the same time.
On the web app, you can clock in to a scheduled Visit from the Visit dialogue or by selecting one of the Client's Service on the Service Reports page.

With multi clock-in enabled, you will be able to clock into several Visits or Services at once without clocking out of the other Visits.
If you or another caregiver is already clocked in to the Visit, the Clock Out button will appear instead of the Clock In button.
Clock in to Multiple Visits or Services on Mobile
Multi clock-in works similarly on mobile. You will be able to clock in to multiple scheduled Visits or Services without having to clock out of your other Visits. On the Visit or Service page, the system will enable/disable the Clock In or Clock Out buttons depending on whether anyone is currently clocked in to of the Visit.
If you are clocked in to multiple Visits at the same time, you can view a summary of your open Work Sessions by going to the menu and selecting Open Activities.
Click View All under Work Sessions to view details about all Work Sessions that you are currently clocked in to.
You can also clock out from Visits or Services from this page by tapping the clock out icon.
Multi clock-in limitations for IVR: when the Allow Concurrent Clock-In setting is enabled, you will not be able to complete Incident Reports or clock in or out of concurrent Visits via IVR (Interactive Voice Response).
