By default in AlayaCare, Care Workers can only clock into 1 visit or service at a time. This said, some scenarios may required users to be able to clock into multiple visits or services at the same time. This functionality can now be enabled on a user role basis, giving them the ability to clock into multiple visits concurrently on web and mobile.
The following limitations for clock-in remain:
- a visit can only have 1 work session at a time
- a service can only have 1 work session per employee (through an unscheduled service clock-in OR visit of a service)
In order to enable multi clock-in functionality, the setting General>'Allow Concurrent Clock-In' must be enabled.
Once enabled, you can control which user types will be able to clock into multiple visits/services with the ACL 'Clock Into Multiple Shifts Concurrently', found within the 'TimeKeeping' category. Only user roles with this ACL enabled will be able to use multi clock-in functionality.
When multi clock-in functionality is enabled, user will be able to clock into multiple concurrent visits, considering the limitations previously mentioned.
On the visit dialog or service report page, the system will show the user a 'Clock in' or 'Clock out' button depending on the state of their own and other Care Worker's work sessions.
When accessing a visit, if the Care Workers or one of their colleagues is clocked into the visit already, they will see a clock out button. Upon hovering the clock out button, they can visualize the work session(s) that will be closed by pressing the button.
On mobile, the functionality is quite similar. On the visit dialog or service page, the system will enable/disable the 'Clock in' or 'Clock out' buttons accordingly, depending on the state of the visit.
When a user is clocked into multiple visits concurrently, they can view a summary of their open work sessions by going to the Menu>Open Activities, where they can see a count of open sessions. They can also view the details of their work sessions by clicking on 'View All', to go to the 'Work session list' page.
From this page, they can also clock out from visits or services individually by tapping on the clock out icon.
When multi clock-in functionality is enabled, the following IVR (Interactive voice response) features will be disabled:
