When updating a Client's Status, you can choose for this status change to impact some, none, or all of the Client's Services (depending on the situation). For example, you may wish to put a Client On Hold while they are on vacation but continue a specific Service in their absence, such as lawn mowing.
The Client's Status can also be reported on separately from the statuses of their Services.
⚠ When editing or deleting a client status, you must manually update their status of their services - this is a case where the service statuses do not follow. To extend a status, simply add another entry for the extended dates in order to benefit from automatic service status updates. ⚠
View a Client's Current and Upcoming Status
In a Client's Overview tab, the status will appear in the top left corner.
If the Client has Status updates set in the future, they will appear as well.
Add a New Client Status
1. Click the icon in the Overview tab.
2. In the resulting dialogue, select an Effective Date, Status, and Note (optional).
⚠ Depending on the Client's current Status, options may differ. ⚠
3. Click Save.
View Client Status History
1. In the Overview tab, scroll down and click Status History.
2. Status History can be fitered by clicking on the icon by Status and Effective Date.
3. A Client Status can also be added here by clicking +Add Client Status.
Edit or Delete a Client Status
Click Edit for a status to edit any field but the Status (which remains uneditable).
Click Delete to remove a Status.
⚠ Waiting List, Active, and Pending statuses cannot be deleted. ⚠
Pending Client Status
A Client is automatically in Pending Status when they are first created. When adding a new status to a Pending Client, the Effective Date of the new status is read-only and default's to the current date.
Pending can be updated to:
- Discharged
- Active
- Waiting List
Waiting List Client Status
If the Client Status is Waiting List on the Effective Date, it can be updated to:
- Active
- On Hold
- Discharged
On Hold Client Status
If the Client Status is On Hold on the Effective Date, it can be updated to:
- Active
- On Hold (with a different reason)
- Discharged
When a Client Status is being updated to On Hold, select a Reason and optionally an End Date. Status Reasons are configured at the system level. You can also choose to update some or all of the Client's Services to On Hold with the same Reason.
Active Client Status
A Pending Client automatically switches to Active when a Service is added for the Client.
If the Client Status is Active on the Effective Date, it can be updated to:
- Waiting List
- On Hold
- Discharged
Discharged Client Status
If the Client Status is Discharged on the Effective Date, it can be updated to:
- Waiting List
- On Hold
- Active
When a Client Status is being updated to Discharged, select a Reason. The Client's Services will be updated to Discharged as of the same date and all Visits deleted.
