AlayaCare has the following behaviour around Daylight Savings Time.
Please note that if your agency/branch is located in a province or state that does not observe Daylight Savings Time, this behaviour will not apply as long as the correct timezone has been selected in AlayaCare.
Overnight Scheduled Visits/Recurrences
If a Visit is scheduled to occur during the period between 2:00 am and 3:00 am local time when an hour is gained or lost, the Visit End Time will move either up in time or back in time by an hour in order to keep the same scheduled Quantity of hours for the Visit. This will occur if the Visit is part of a Recurrence or if it is a single Visit for which Use Service Duration is checked.
For example, if a Visit is scheduled from 12:30 am until 4:30 am on the Sunday when Daylight Savings ends (Fall Back), the End Time will be moved up to 3:30 am so that the Visit Quantity remains the same despite the hour that is gained.
If a Visit is scheduled from 12:30 am until 4:30 am on the Sunday when Daylight Savings begins (Spring Forward), the End Time will be moved back to 5:30 am so that the Visit Quantity remains the same despite the hour that is lost.
In the case of Recurrences, the Visit will have a different End Time than the rest of the Recurrence.
Note: if Use Service Duration is unchecked for a single Visit that is scheduled to occur when Daylight Savings is beginning/ending, the Visit Start and End Times will not be readjusted by an hour to account for Daylight Savings Time.
If the Visit is dragged and dropped in the calendar so that it no longer occurs between 2:00 and 3:00 am when Daylight Savings is beginning/ending, the Start and End Time will remain the same interval apart, and the Quantity will change to reflect the actual number of hours between Start and End Time. For example, if there is a Visit scheduled to occur when Daylight Savings is ending with a Start Time of 12:30 am, End Time of 3:30 am, and Quantity of four hours (to account for the extra hour gained), if you drag and drop it in the calendar so that it starts three hours earlier, the Start and End Time will become 9:30 pm and 12:30 am, and the Quantity will change to three hours. This also happens when dragging and dropping a Visit so that it overlaps with the 2:00 am to 3:00 am slot on a Sunday when Daylight Savings is beginning/ending.
Whether the Visit is approved in the Visit dialogue>Time Approval tab, by clicking on the Scheduled Hours in the Visit Approval list, or by Batch Action (Approve All to Scheduled), the Quantity of the Visit will be used.
Since Visits are covered according to their Quantity, Funding Block coverage is not affected by Daylight Savings.
For any scheduled Time Off/Unavailability/Availability, the Start Time and End Time will remain the same as usual through Daylight Savings. The Quantity is still calculated as the difference between Start and End Time where applicable for Payroll.
