AlayaCare has the following behaviour around Daylight Savings Time.
Please note that if your agency/branch is located in a province or state that does not observe Daylight Savings Time, this behaviour will not apply as long as the correct timezone has been selected in AlayaCare.
Scheduling Visits and Recurrences across Spring Forward/Fall Back
If you use the option Use Service Duration, the Visit will be scheduled according to your chosen start time, and the end time will be readjusted to account for Daylight Savings Time and keep the visit duration according to the setting on the Service Code. If you do not use the option, the visit duration will be calculated according to the actual length fo the Visit once you have set the start and end times.
Whether the Visit is approved in the Visit dialogue>Time Approval tab, by clicking on the Scheduled Hours in the Visit Approval list, or by Batch Action (Approve All to Scheduled), the Quantity of the Visit will be used, unless you decide to alter it manually.
- Single Visit across Spring Forward/Fall Back: the first visit (ABA - Pediatrics - 123) is a single visit scheduled overnight on March 7. Though it runs 7pm-7am, the scheduled hours, and therefore the total of approved hours, is 11, unless this is manually edited.
- Recurrence starting across Spring Forward/Fall Back: the second visit (Shift Nursing) is the first visit of a recurrence scheduled overnight on March 7. Though it’s 8pm-8am,, the scheduled hours, and therefore the total of approved hours, is 11, unless this is manually edited. Subsequent visits in the recurrence will run from 8pm-7am and remain 11 hours long.
- Recurrence starting before Spring Forward/Fall Back: the third visit (Private Care Packages) is the second visit of a recurrence. The recurrence is ordinarily scheduled to run from 9pm-9am, but to keep the 12 hour length over spring forward, it is scheduled until 10am. The visit has 12 scheduled hours, and will be approved for 12 hours, unless this is manually edited. Future visits of the recurrence will revert to the 9pm-9am schedule.
In any calendar views, you will also be able to see the discrepancy between start and end time, and visit duration.

If the Visit is dragged and dropped in the calendar so that it no longer occurs between 2:00 and 3:00 am when Daylight Savings is beginning/ending, the Start and End Time will remain the same interval apart, and the Quantity will change to reflect the actual number of hours between Start and End Time. For example, if there is a Visit scheduled to occur when Daylight Savings is ending with a Start Time of 12:30 am, End Time of 3:30 am, and Quantity of four hours (to account for the extra hour gained), if you drag and drop it in the calendar so that it starts three hours earlier, the Start and End Time will become 9:30 pm and 12:30 am, and the Quantity will change to three hours. This also happens when dragging and dropping a Visit so that it overlaps with the 2:00 am to 3:00 am slot on a Sunday when Daylight Savings is beginning/ending.
Since Visits are covered according to their Quantity, Funding Block coverage is not affected by Daylight Savings.
For any scheduled recurring Time Off/Unavailability/Availability crossing Daylight Savings, the End Time will be displaced to maintain a constant total quantity for each scheduled occurrence.
