Feature Overview: Client, Visit, and Employee Notes

AlayaCare offers several different note-taking features throughout the application, for use on web, mobile, or both. 

The Notes can relate to a specific Visit, Client, or an Employee.

warning__1_.jpg There are no Notifications related to Notes, so it is the responsibility of staff to design workflows that ensure time-sensitive information recorded in them will be properly flagged internally.

There are some configuration options for Note Types so that Agencies can customize them.

Configuring Note Types

Administrators can create and manage their organization's custom Note Types for use in the following places:

  • Client Profile>Overview>Client/Client Coordinator Notes
  • Client Profile>Care Documentation>Progress Notes
  • Employee Profile>Overview>Employee Notes

Add Notes for a Visit

Visit Notes are typically used by field staff to notify office staff, or vice versa, of a Visit-specific Note; for example:  “Clocked in late due to bad traffic”.

If a Visit has Notes, it will be indicated in the Visit Overview when you hover over a Visit tile, as well as in the Notes  column of any Visit Approval list.

There are a few different options for Client-specific Notes.

Care Provider Notes

These are administrative notes that are relevant for the field staff. For example: "Apartment Buzz code: 1234."

They appear in the Client Overview on web and are available to care providers on mobile from the Overview tab of the Client's Visit.

Client/Client Coordinator Notes

These notes are for office staff updates. For example: “Client’s sister called today."

They are visible in the Client Profile Overview tab but are not available to care providers on the mobile app.

Progress Notes

These notes concern clinically-related updates (should be filled out by field staff). Example: “Client had a fall today."

They appear in the Care Documentation tab of the Client's profile on the web app and in the Progress Notes tab of a Visit on mobile for the use of Care Workers.

Administrators can make notes about specific Employees. For example: “On probation until June 20th."

These Notes are not visible to the Employee in the mobile app.
