How do I configure my agency's billing information?

Your Agency Information will appear by default on Invoices you export.

However, you can also create several Agency Contacts, which you can link to specific Funders. When you have linked an Agency Contact to a Funder, that Agency Contact information will appear instead of the default Agency Information as the entity which issued the Invoice. For example, while your Agency Information may have the contact details for your head office, you may want to create Agency Contacts to represent specific branches for the benefit of localized Funders, which will appear on any Invoices addressed to them.

The same is true of Invoice Contacts. While the Agency Contact will appear as the organization issuing the Invoice, the Invoice Contact will appear in the Invoice Questions to field of the Invoice and can be customized by Funder. This way the Invoice recipient will know who to contact concerning any possible issues with the invoicing.

warning__2_.jpg Should you edit any Agency Contact or Invoice Contact, the changes will appear immediately upon re-exporting the Invoice. Should you delete an Agency Contact, the Agency Information will re-appear by default in subsequent Invoice Exports for any Funders linked to that contact. Should you delete an Invoice Contact, that field will appear empty in subsequent Invoice Exports for any Funders linked to that contact.

Enter the Main Agency Contact

  1. Navigate to Settings>All Settings>Agency Information.                                                                                                                    Agency_Information.png                     
  2. Fill out your Agency's contact details in the General Information and Address tabs. The fields in these tabs are subject to Form Context in the column Agency Information.

  3. In the Logos tab, upload an Invoice Logo.

  4. Click Save.

Add Additional Agency Contacts

  1. Navigate to Settings>All Settings>Agency Information and click Contacts.

  2. In the Agency Contacts tab, click Create.

  3. In the resulting dialogue, fill out the details of the Agency Profile. The fields in this dialogue are subject to Form Context in the column Agency Contact.

  4. Click the mceclip0.png icon to upload an image in jpg if you want your Logo to appear on Invoices. The name of the file will appear in the filed when you have successfully done so.

  5. If you wish, you can enter the Funders to whom this Agency Contact will apply. As you type, existing Funders will appear in a dropdown for you to select.

    warning__2_.jpg You cannot link a Funder to more than one Agency Contact. If you add a Funder to a second Agency Contact, it will automatically be unlinked from the previous one.

  6. Click Save.

Invoice Contacts

  1. Navigate to Settings>All Settings>Agency Information and click Contacts.

  2. In the tab Invoice Contacts, click Create.

  3. In the resulting dialogue, fill out the details of the Invoice Contact. The fields in this dialogue are subject to Form Context in the column Agency Billing Contact.

  4. If you wish, you can enter the Funders to whom this Invoice Contact will apply. As you type, existing Funders will appear in a dropdown for you to select.

  5. Click Save.
