The Schedule tab in the family portal allows you to view the client's schedule and review information about upcoming visits.
You can also request visit changes and new visits from this tab. Your agency will do its best to fulfill your request according to your specifications.
Choose which type of device you are using the family portal on:
View schedule and request new visits/visit changes (computer/tablet)
To begin, navigate to the Schedule tab.
From the Schedule tab, use the dropdown menu to choose to view the schedule by Day, Week, or Month.
The schedule will default to today's date. You can change the date time shown by clicking the arrows on either side of the date range displayed above.
Or you can click the calendar icon (from the Month or Week view) to select another date on the calendar.
From the Day view, simply click a date on the calendar shown on the left.
Different colours serve to provide information about the status of scheduled visits.
- Blue indicates an upcoming scheduled visit.
- Green indicates that a visit in progress (the caregiver has clocked in to the visit).
- Dark blue indicates that the visit been completed (the caregiver has clocked out of the Visit).
- Grey indicates that the visit been cancelled or put on hold.
Click on a visit in the schedule to view more details. The specific details available will depend on whether the visit is in the past, upcoming, in progress, or cancelled/on hold.
To request changes to a scheduled visit, click to open a visit from the schedule select Request Visit Change.
You can also request a visit change from the Next Visit tile in the Home tab by clicking Request Change.
Note that depending on the agency's settings, you may not be able to select the Request Change/Request Visit Change within a certain number of a minutes of a scheduled visit.
In the Request Visit Change dialogue box, choose Visit Date/Time Change or Visit Cancellation as the Request Type.
For a Visit Date/Time Change request, you must also select a New Visit Date and Start Time. Note that there be limits on the minimum and maximum days in advance you can request a change, depending on your agency's settings.
Use the Note box if you wish to provide an explanation of why you are requesting the change. When you have finished, click Submit Request.
To request that a new visit be added to the schedule, click the Request Visit button.
In the dialogue box, choose whether you wish to request a Single Visit or a Recurring Visit.
For a Single Visit, you must select the New Visit Date and New Visit Start Time.
For a recurring visit, select whether the visit should recur on a Daily or Weekly basis.
For a daily recurrence, select your desired Start Date and Start Time.
For a weekly recurrence, enter the Number of Visits per Week you wish to request along with the Start Date and Start Time.
Note that there be limits on the minimum and maximum days in advance you can request to schedule a visit, depending on your agency's settings.
If you know which service you wish to schedule the visit for, select it from the Services dropdown menu. Otherwise, select All (default selection).
Use the Note box if you wish to provide an explanation of why you are requesting the Visit.
When you have finished, click Submit Request. The agency will be notified about your request.
View schedule and request new visits/visit changes (smartphone)
To begin, navigate to the Schedule tab.
Under the Schedule tab, click the calendar icon to open a calendar view of all visits scheduled for the month.
Select the list icon to return to the list view of scheduled visits.
