When configuring bill codes and pay codes, you can set rounding rules for calculating the approved time during the Visit Verification process.
Before you begin
- Visit Verification is required to set up rounding rules. To request the feature, please create a support ticket.
- For access to bill code and pay code configuration, you will need the following ACL:
- Accounting > Edit accounting settings
Set rounding rules for bill codes
To add/edit a bill code, go to Accounting > Accounting Settings > Bill Codes.
On the bill code configuration dialog, fill out the appropriate fields. A Rounding Rules section will appear after selecting per hour under Units.
Minimum Billing Duration (minutes)
Set the minimum duration, in minutes, that reflects how you want to bill for a visit. Once configured, when a visit goes through Visit Verification, and the actual visit duration is less than the minimum billing duration set in this field, the minimum billing duration will take precedence.
For example, if you have set the minimum billing duration as 30 minutes, a visit from 11:15 AM to 11:27 AM will be considered 30 minutes long for billing purposes.
Rounding Rule
The Rounding Rule determines how a visit’s bill quantity should be rounded during Visit Verification.
Select whether the visits linked to this bill code should be rounded to the scheduled time or the clocked time.
- Clocked Time – Total Duration refers to the total duration the caregiver clocked in, which is then rounded.
- Selecting Clocked Time – Start and End Times means the start and end times of the clock-in are rounded separately.
Rounding Method
If you have selected one of the clocked time options in the Rounding Rules described above, you can also choose a rounding method.
- No Rounding
- Round Up
- Round Down
- Round to the Nearest
- Threshold
- Refers to rounding based on a customized period of minutes (for example, 53 minutes out of an hour).
Rounding Increment (minutes)
If you have selected any rounding methods other than No Rounding or Threshold, choose a rounding increment, in minutes.
Rounding Threshold (minutes)
If you selected Threshold under Rounding Method, select a Rounding Threshold based on a customized period of minutes.
For example, if the rounding threshold is set to 53 minutes, and the Rounding Increment is set to 60 minutes, a visit that is 52 minutes or less in duration would round to 0 minutes for billing purposes—and cannot be billed at an hour. If the visit is 53 minutes or longer, it would round up to 60 minutes, meaning a whole hour can be billed.
Breaks
If you selected Scheduled Time under Rounding Rules, choose whether to include or exclude the break time from the invoice calculation.
Set rounding rules for pay codes
When configuring a pay code, you can set up rounding rules once you have selected hours as the pay code units.
1. To add/edit a pay code, go to Accounting > Accounting Settings > Pay Codes. Fill out the appropriate fields.
2. From the Units dropdown, select Hours. The Rounding Rule option will appear.
2. From the Rounding Rule dropdown, select from these options:
- If you select Scheduled Time:
- The pay code rate will be rounded to the visit’s scheduled time.
- You can also choose if breaks should be included in this rounding setup.
- If you select one of the clocked time options:

Clocked Time – Total Duration
- The clocked time will be rounded to the total duration that the caregiver clocked in.

Clocked Time – Start and End Times
- The clocked start time and end times will be rounded individually.
- You can select a Rounding Method: No Rounding, Round Up, Round Down, or Round to the Nearest.
- You can choose a Rounding Increment to determine how much of a rounding will occur.
